A BRIEF GUIDE FOR THE NEW EXHIBITORS

Festival Evolution

Dear exhibitors,

We’re pleased that you have chosen the Evolution Festival to be your presentation venue. When you first look at the application materials, you will certainly have a lot of questions and may even feel a bit lost. That's why we've prepared answers to the things you most ask about. They will help you navigate through your first login.

First, choose which group of exhibitors you belong to:

ORDERING ONLY THE AREA FOR MY OWN STAND

You have your own stand and need a suitable space. You can choose from:

  • row area
    Minimum space is 4 sqm = 2x2 m.
  • corner area
    Minimum space is 6 sqm= 3x2 m - the space is accessible from 2 sides (front and one side, the other side is adjacent to the next stand).
  • island/front area
    Front space over 20 sqm - the stand is accessible from 3 sides. Island space over 50 sqm - the stand is accessible from 4 sides.
  • outdoor area
    Located in front of the entrance to the Industrial Palace.

Your own stand must meet the following rules:

  • Your stand must have a firmly bounded back and side walls, the minimum height is 2.5 m
  • The material must be opaque and ideally firm
  • It is also possible to have a solid construction with a stretched advertising tarpaulin
  • It is not possible to attach the structure to the adjacent stand (each stand is designed differently and you could damage the adjacent construction)
  • Each construction must be stable on its own
  • A separate presentation desk / info desk is not considered a stand, it is necessary to order extra back and side walls

ORDERING BOTH THE AREA AND THE STAND

1. BEST CHOICE: A STANDARDIZED STAND

You can choose from 5 fully equipped, standardized stands. Each one contains perimeter walls, a collar (without  graphics), a carpet and equipment as described. The price also includes an exhibition area.

The price does not include registration fee, power supply and lighting.

You can complete your standardized stand with your own furniture (racks, showcases, tables, chairs, etc.) or you can order it from us for extra.

On the collar, counters or back walls you can also apply your graphic labels. In case you need to hang any decoration on the back wall, eg. a framed picture, we recommend hanging it using hooks on the top of the wall.

The stands are made with the Octanorm system - based on aluminum props with eight grooves in directions (divided by 45 °). The filling is made of white MDF / PVC boards.

2. TAILOR-MADE STAND

None of the standardized stands meeting your requirements? You can build your own stand from the available equipment. All you have to do is to order a separate exhibition area and a basic construction that includes perimeter walls, a collar (without  graphics) and a carpet. The total price of the stand consists of: price of the basic construction + price of the area+ registration fee.

The price does not include power supply and lighting.

You can complete such a stand with your own furniture (racks, showcases, tables, chairs, etc.) or you can order it from us for an extra fee.

On the collar, counters or back walls you can also apply your graphic labels. In case you need to hang any decoration on the back wall, eg. a framed picture, we recommend hanging it using hooks on the top of the wall.

FURNITURE

You can order additional furniture (e.g. counters, tables, chairs, shelves, showcases, etc.) to the stand and individually designed stand; we do the construction for you.

CARPET

All standardized and individually designed stands ordered from us, are equipped with carpet.

The price of the stand includes 4 basic colours: green (no. 065), blue (no. 052), red (no. 032) or gray (no. 892). Other colours are for an extra charge of 30 CZK + VAT / sqm.

In case there’s no request on the carpet colour, your stand will be equipped with a carpet in one of the basic colours.

POWER SUPPLY/ LIGHTING

You can order basic stand lighting without a socket. This option is only available for stands ordered from us. The price includes 1 spotlight per 3 sqm of construction. It is intended for lighting only and does not include a socket.

Separate electrical connection of 2.2 kW and above contains 1 spotlight per 3 sqm of construction as well as an extension cable with triple socket. Spotlights are included in the connection price only with the stands ordered from us.

If you have a refrigerator and need to have it plugged in overnight, it is also necessary to order an off-peak night power supply.

GRAPHIC LABELS

For your stand you can order a labeling of collar, counters or walls. We will be happy to provide you with printing, application and removal of the labels.

Do you want to make your own custom-made labels which you will then apply yourself?
When the festival is over you are obliged to remove the labels completely, including adhesive tapes and other fastening materials. You will be invoiced for any cleaning or replacement costs of damaged material.

As for the production of graphic materials, we will send you the exact dimensions of the individual panels.

It is strictly forbidden to use double-sided adhesive tape! Use alternatives - NON-PERM adhesive label, paper adhesive tape (to which you can then attach double-sided adhesive tape), adhesive rubber, etc.

In case you need to hang something (e.g. a framed picture on the back wall) we recommend hanging it using hooks.

LOCATION

On the map below you will find the location of individual sections in the halls of the Industrial Palace.

WHAT HAPPENS AFTER SUBMITTING YOUR APPLICATION?

  • upon submitting the application we will send you a confirmation and detailed information for the exhibitors
  • we will issue a pro forma invoice for the services you ordered within 14 days from the registration date (the invoice due date is 14 days)
  • one-by-one you will be receiving more emails regarding your catalog entry and other possible promotion at the festival. We will also notify you of ordered services, furniture, labels, parking cards and discounted tickets for business partners
  • based on your additional equipment and service orders, we will send you a pro forma invoice to be paid before the festival begins
  • we will send you your stand’s location and number three weeks prior to the event
  • the instructions and schedule of the festival (with detailed information about registration, assembly/disassembly, delivery of goods, parking etc.) will be sent to you three weeks prior to the event
